Reporting to the Manager, Programs & Operations, the Marketing Coordinator will work closely with the management team to fulfill the mission, core values and strategic goals of the Work Wellness Institute by coordinating and executing marketing objectives in multiple areas including communications, public relations, and fund development. This position will participate in planning projects with management and external partners and be responsible for actively carrying out marketing-related tasks.

WHAT YOU’LL BE DOING: 

  • Coordinate and implement marketing campaigns for a wide variety of events and programs

  • Manage and strengthen the institute’s brand using organizational tools and channels

  • Demonstrated stakeholder engagement experience

  • Excellent written communication and superior interpersonal skills

  • Create and coordinate press, interviews, advertisements, e-newsletters, and social media content

  • Manage and coordinate social media content and engagement

  • Create promotional materials independently (using WordPress, Microsoft Office, Photoshop, or equivalent programs)

  • Coordinate fundraising and sponsorship development

  • Analyze, organize and synthesize data to make informed marketing decisions and inform continuous improvement.

WHAT YOU BRING TO THE TABLE:

  • 2-5 years of experience in Marketing and Communications

  • A degree, diploma, or certificate in Marketing or Communications

  • Excellent communication skills, both written and verbal

  • Ability to be flexible, take initiative, and work independently

Reporting to the Team Lead, Education and Development, the Learning and Development Coordinator will work to contribute to the Work Wellness Institute’s organizational mandate, including but not limited to the development, delivery and evaluation of education resources related to the organization’s mission of safe, inclusive, productive workplaces for all.

WHAT YOU’LL BE DOING: 

  • Contribute to project and program planning, evaluation, and continuous improvement cycles

  • Work with Team Lead, Education & Development, to implement and manage processes and workflows to ensure project goals are achieved

  • Informed by education plan, work with education team to coordinate content developers, instructional designer and schedule and run meetings

  • Based on development plan, support Team Lead, Education & Development to review draft content and resources and make recommendations for edits, flow and positioning

  • Work with education team to contribute to regular review and evaluation cycle of participant and facilitator feedback to inform continuous improvement

  • Lead review and quality control of courses in WWi LMS

  • Analysis, synthesis and extraction of content from webinars and research articles used in the creation of interview and podcast scripting

  • Coordinate with script writing contractor to produce interview and podcast scripts

  • Support reporting cycles by collecting and providing accurate and timely program activity data including participant feedback.

  • Coordinate development of supporting resources including but not limited to: translation, creation of infographics, highlight videos

  • Edit/format/branding of learning materials and content to meet final product needs – participant guides, voice over scripts

WHAT YOU BRING TO THE TABLE:

  • 2+ years in a similar role

  • An undergraduate degree in a related field is preferred

  • Bilingual in both official languages an asset, not required

  • Critical thinking and problem-solving skills

  • Demonstrated project organization, planning and management

Reporting to the Manager, Programs & Operations, the Stakeholder Engagement Coordinator will work to engage the Work Wellness Institute’s (WWi) stakeholder community while actively expanding WWi’s network and reach.

WHAT YOU’LL BE DOING: 

  • Coordinate stakeholder communication and engagement activities including regular partnership and committee meetings, materials

  • Draft meeting agendas, discussion materials and facilitation of content for associated communities of practice, partnership, and advisory committee meetings

  • Extraction, analysis, and synthesis of meeting minutes from committee and partnership meetings

  • Develop scalable, replicable process to share and communicate findings in a consistent manner internally

  • Lead the WWi membership experience through effective and regular communication, from promotion/recruitment to driving membership value, trouble shooting member complaints and inquiries from the member perspective, including but not limited to:

  • Work with Marketing Coordinator to broaden reach in promoting knowledge mobilization resources to target audiences

  • Actively identify opportunities to expand WWi network and membership base

  • Work across WWi team to actively monitor industry activity for upcoming events, emerging trends and opportunities to present and represent WWi

  • Aligned to Organization Communication and Marketing Plan, set KPIs and create work plan to implement engagement and communication schedule, content, and specify target audience

  • Based on Organization Communication and Marketing Plan, draft, update and manage communication templates related to network expansion

WHAT YOU BRING TO THE TABLE:

  • 3+ years in a similar role

  • Undergraduate degree in a related field is preferred

  • Demonstrated stakeholder relationship management, including experience in creating stakeholder engagement strategies

  • Strong communication skills, both written and verbal

  • Bilingual in both official languages an asset, not required

Reporting to the Team Lead, Information Resources, the Information Resources Coordinator will work to contribute to the Work Wellness Institute’s organizational mandate, including but not limited to the search identification and review of recent and emerging research related to the organization’s mission of safe, inclusive, productive workplaces for all.

WHAT YOU’LL BE DOING: 

  • Contribute to project and program planning, evaluation, and continuous improvement cycles.

  • Working with Team Lead, Information Resources, implement and manage processes and workflows to ensure project goals are achieved.

  • Collate data from multiple input sources to identify topic themes and trends, including but not limited to: literature reviews, meeting minutes from advisory committees, participant feedback surveys, similar resources across sector landscape

  • Identify the recent and emerging topics through environmental scans

  • Perform literature searches to identify new research and grey lit resources

  • Use existing organizational criteria to critically appraise resources

  • Analyze and synthesize findings to inform content and resource development

  • Assist in development with the WWi Taxonomy and program processes

  • Assist in coordination and recruitment of the WWi Review Committee

  • Identify subject experts to invite to join the various opportunities, including research partnership, speaking opportunities, review committee member, advisory committee member, organizational memberships.

  • Upload and maintain WWi Resource Portal

  • Support reporting cycles by collecting and providing accurate and timely program activity data.

WHAT YOU BRING TO THE TABLE:

  • Master’s degree in Information and Library Science from ALA-accredited program (or equivalent)

  • Experience in conducting literature searches and critically appraising research and/or resources

  • Knowledge in health and business-related information sources an asset

  • Experience in performing and assisting in the development of advanced search strategies and systematic search methodologies for the discovery of evidence-based literature using databases search as PubMed, Cochrane Library and sources of grey literature

  • Critical thinking and problem-solving skills

WHAT YOU’LL BE DOING: 

  • Working with an IT Services Management Company to provide the necessary IT support to team members

  • Ensuring security and maintenance of computer and network systems

  • Commissioning/Decommissioning users

  • Creating equipment tracking documentation

  • Identifying opportunities and gaps to improve IT systems and meet organizational needs

  • Creating IT procedures and infrastructures to improve organizational efficiencies

  • Providing instructional documentation for ease of access and organizational use of software and systems

  • CRM Customization, Integration and Maintenance (Salesforce)

  • Producing clean, efficient code as required

  • Maintaining and troubleshooting integrations of Thinkific and GoToWebinar in Salesforce through Zapier and integration of Stripe in Salesforce, when applicable

  • Continuous improvement cycle and creation of technical documentation for reference

  • Recommend, document and execute improvements, to increase automated systems quality and efficiency

  • Working with the team to understand IT projects/products requirements

  • Contributing to drafting user stories, Requests For Proposals and IT agreements

  • Working with external contractors to ensure software development projects/products meet requirements and standards

WHAT YOU BRING TO THE TABLE:

  • Combination of relevant experience and education

  • Minimum 2-year experience

  • BSc/BA in Computer Science, Engineering or a related field

  • Familiar with Agile development methodologies

  • Knowledge of coding languages (e.g. C++, Java, JavaScript) and frameworks/systems (e.g. AngularJS, Git)

  • Familiarity with Salesforce and knowledge of coding in the following languages is an

  • Asset: Apex, Salesforce Lightning Component, Visual Force

  • Experience with databases (e.g. MySQL) and Object-Relational Mapping (ORM) frameworks

  • Familiarity with WordPress and WordPress Plugins is an asset
